StaffAsset Ltd ("StaffAsset", "we", "us" or "our") is a specialist recruitment and workforce provider supplying temporary, contract and permanent professionals across healthcare, social care, education and specialist professional services. This Privacy Policy explains how we collect, use, share, retain and protect personal data when individuals use our website, apply for roles, register with us, work through us, act as referees, or engage with us as clients, suppliers or other business contacts.

StaffAsset is registered with the Information Commissioner's Office under registration reference ZC114287, and is separately registered with the Jersey Office of the Information Commissioner (registration number 104051) for placements in Jersey. For the processing described in this notice, StaffAsset will normally act as a data controller where it determines why and how personal data is used.

This Policy applies to candidates, prospective candidates, temporary and agency workers, employees, client and prospective-client contacts, referees, emergency contacts, suppliers, website visitors and other individuals whose personal information StaffAsset processes in connection with its services. It should be read alongside StaffAsset's Data Protection Policy, Safeguarding & DBS Policy and Safer Recruitment Policy where those documents are relevant.

1. Information We Collect

Information may be obtained directly from you, or lawfully from referees, former employers, recruitment platforms, clients, DBS/background-check providers, Home Office Right to Work services, professional regulators, public registers and training providers.

3. Lawful Bases

Depending on the processing activity, StaffAsset may rely on steps taken at an individual's request before entering into a contract, performance of a contract, compliance with a legal obligation, legitimate interests, consent, or another lawful basis permitted by UK data protection law. Where special category data or criminal-offence data is processed, StaffAsset will also identify an appropriate additional condition under applicable law. Consent is not treated as the default basis where another lawful basis is more appropriate, and withdrawing consent does not affect processing already lawfully carried out.

4. Recruitment, Safeguarding and Vetting

StaffAsset supplies workers into positions that may involve children, young people, adults at risk and regulated professional activity. We therefore process proportionate compliance and safeguarding information to protect service users, clients and workers and to determine whether candidates meet legal and contractual requirements.

The exact checks depend on the role and may include Enhanced DBS or equivalent police clearance, professional registration, employment history, references, qualifications, Right to Work, identity, safeguarding training and client-specific checks. We will not claim a check has been completed unless it has actually been verified, and we will not request a level of DBS check for which a role is not legally eligible.

5. Professional Registration and Qualifications

For regulated roles, StaffAsset may verify professional registration, qualifications, licences and any conditions or restrictions relevant to practice. Where appropriate, verification may be undertaken directly against the relevant regulator or authoritative register.

6. Sharing Personal Data

StaffAsset does not sell personal data.

7. Jersey and Cross-Jurisdiction Placements

For assignments in Jersey or another jurisdiction, StaffAsset may need to share relevant candidate or worker information with the contracting authority, client organisation, regulator or vetting body to satisfy local recruitment, safeguarding, registration and compliance requirements.

Before making an international transfer of personal information, StaffAsset will consider the applicable data protection requirements and appropriate safeguards, and will not assume that UK recruitment or DBS arrangements alone satisfy Jersey-specific requirements. StaffAsset is registered with the Jersey Office of the Information Commissioner under registration number 104051.

8. Retention

Personal data is retained only for as long as necessary for recruitment, placement, safeguarding, legal, tax, contractual, insurance, regulatory and audit purposes. Retention periods vary by record type — for example, unsuccessful candidate records are typically held for up to 6 months after the recruitment decision, while worker/employee assignment records are typically held for up to 6 years after the relationship ends. Information that is no longer required is securely deleted, destroyed or anonymised.

9. Individual Rights

Requests should be sent to contact@staffasset.co.uk. StaffAsset may need to verify identity before responding, and will respond without undue delay, normally within one month.

10. Data Security

StaffAsset uses proportionate technical and organisational controls intended to protect personal data against accidental or unlawful loss, misuse, alteration, unauthorised access or disclosure. Access to sensitive recruitment and safeguarding information is restricted according to role and business need.

Our website may use cookies and similar technologies. Non-essential cookies are used only where the required consent has been obtained. Our website may also link to third-party websites; StaffAsset is not responsible for the privacy practices or content of independent third-party sites.

StaffAsset provides recruitment and workforce solutions, including sourcing, vetting, onboarding and supply of temporary, contract and permanent personnel. Roles may include Registered Nurses, Healthcare Assistants, Support Workers, Supply Teachers, SEN Teaching Assistants, Social Workers, Educational Psychologists and other specialist professionals.

3. Recruitment Information

Vacancies, role descriptions, pay information, assignment duration and availability may change. Publication of a role does not guarantee an interview, placement, assignment or employment. Candidate deployment remains subject to suitability, client requirements, legal eligibility, satisfactory compliance checks and availability.

4. Professional Registration and Compliance

Where a role requires professional registration, safeguarding clearance, DBS or equivalent police checks, qualifications or other statutory evidence, candidates must continue to meet those requirements throughout the relevant recruitment process and assignment. StaffAsset may verify status with the appropriate regulator or authoritative source.

5. Intellectual Property

Unless otherwise stated, the text, branding, graphics, designs and original content on this website are owned by or licensed to StaffAsset Ltd. They must not be reproduced, republished or commercially exploited without permission, except as permitted by law.

StaffAsset aims to keep website information accurate and current but does not guarantee that every page, vacancy or item of information will always be complete, error-free or continuously available. Website information may be changed or withdrawn without notice.

Any employment, engagement, agency assignment or recruitment service is subject to the applicable written terms, compliance requirements and client instructions.

3. Candidate Responsibility
